AI for Customer Messages and WhatsApp

For many Kenyan businesses, customers arrive on WhatsApp. Fast, consistent replies win sales, and slow ones lose them. AI helps you write better replies faster today, even before you automate anything.

Write your answers once, reuse them every day

Most customer questions repeat: prices, opening hours, location, delivery, payment, availability. Ask AI to help you write a clear answer for each:

“Write a friendly WhatsApp reply, under 50 words, answering: do you deliver outside Nairobi? Facts: [where you deliver], [how long delivery takes], [who pays the delivery fee]. End by asking where they are.”

Fill in the brackets with your real facts. Then check every price, time and promise before you save it.

Set up WhatsApp Business tools

The free WhatsApp Business app has built-in tools under its business settings:

  • Quick replies: saved messages you insert with a shortcut, such as /delivery.
  • Greeting message: sent automatically to new customers.
  • Away message: sent outside your working hours, telling customers when you will reply.
  • Labels: to sort chats into new enquiry, waiting for payment, completed, and so on.

Use AI to write all of these, then paste them in. This alone makes replies faster and more consistent across your team.

Handling complaints

When a message makes you angry, AI is a useful calm first draft:

“A customer says their order arrived late and damaged. Draft a reply that apologises, does not argue, asks for a photo of the damage and their order number, and says we will respond within 24 hours. Under 70 words.”

Read it, adjust it to your real policy, and send it yourself. Never let AI promise refunds, discounts or compensation you have not approved.

When a person must take over

Keep these with a person, always:

  • Complaints and disputes
  • Payments, refunds and money owed
  • Anything medical, legal or about safety
  • Anything you are not sure is true

From faster replies to an assistant

Once your answers are written and checked, they can become the knowledge behind a WhatsApp assistant that replies at any hour and hands the chat to your team when a person is needed. That needs the WhatsApp Business Platform from Meta rather than the phone app; our WhatsApp Business API setup guide explains the steps. The answers you write in this lesson are the hardest part of that project, and they are useful on their own from today.

Key takeaways

  • Write and check your answers to the questions customers ask most, then save them as WhatsApp quick replies.
  • The free WhatsApp Business app already has quick replies, greeting and away messages, and labels.
  • Use AI for a calm first draft of a complaint reply, then adjust it to your real policy before sending.
  • Complaints, refunds, payments and anything medical or legal always stay with a person.

Your task this week

List the ten questions customers ask you most often. Use AI to draft a short, friendly answer to each, check every fact, then save them as quick replies in the WhatsApp Business app (or as saved templates in your email).

Check your understanding

Three quick questions. Your answers stay on your device.

1. Which messages should a person always handle, not an AI draft sent unchecked?

2. Where do quick replies live in the WhatsApp Business app?

3. An angry customer message arrives. How can AI help?
