The arithmetic for one paid seat at USD 20: 20 × 129.81 = KSh 2,596.20. If you pay with an M-PESA GlobalPay virtual Visa card, Safaricom adds a 3.5% exchange markup: 2,596.20 × 1.035 = KSh 2,687.07. A weaker shilling next month pushes that higher, so budget KSh 2,800 a seat, not the KSh 2,600 headline. That gives you about 4% of room before the payment fails or eats into another line.
Two payment notes. ChatGPT’s pricing FAQ says Go, Plus, Pro and Business can be bought “with any major credit card”, and Claude’s page lists credit card payment for Pro, Max, Team and Enterprise. More than most people think, which is why we tell clients to stay free for the first month.
Claude Free, according to Claude’s plan page, covers chat on web, desktop and mobile; web search, file creation and running code; memory across conversations; connecting your apps and tools; Artifacts; and Claude Design, Slides and Docs. Voice mode is also shown on every tier.
ChatGPT Free, according to OpenAI’s page, gives unlimited text chats with GPT-6 (subject to fair use), with limited uploads, image creation, voice chats, deep research, memory and Codex access. On the free plan, the quick-reply mode accepts roughly 12 pages of text in one go; Go, Plus and Business raise that to about 40 pages.
That 12-page ceiling matters if you want to paste in a full county tender document or a long contract. Upload it in sections, or test that task on a paid plan before deciding the tool “cannot do it”.
My view: the free plans are good enough to decide between the two. They are not good enough to run a team on, because you get no admin controls, no shared billing and weaker data defaults.
Which is safer for customer and staff data?
This is the question Kenyan businesses skip, and it is the one that can cost the most. Kenya’s Office of the Data Protection Commissioner takes its mandate from the Data Protection Act 2019, and that law covers what your staff paste into a chatbot as much as what sits in your filing cabinet.
Here is what each vendor says about training on your conversations.
- Claude personal plans (Free, Pro, Max): Anthropic says it uses your chats to improve its models if you choose to allow it in your settings, if a chat is flagged for safety review, or if you opt into a programme. Incognito chats are not used.
- Claude business plans (Team, Enterprise, API): Anthropic says that by default it will not use inputs or outputs from commercial products to train models, unless you send feedback such as a thumbs up or down.
- ChatGPT personal plans (Free, Go, Plus, Pro): OpenAI’s data controls guide tells you to switch off “Improve the model for everyone” if you do not want new conversations used for training. Temporary Chat is also kept out of training.
- ChatGPT business plans (Business, Enterprise, Edu, API): OpenAI says it does not use this content to improve its models by default.
The practical rule is simple. If a task involves customer names, phone numbers, ID numbers, payslips or patient details, it belongs on Claude Team or ChatGPT Business, not on a staff member’s personal free account. On this point the two tools are equal; the risk comes from how you set them up.
Claude Team or ChatGPT Business: which should a small team buy?
Since the price is identical, decide on three things: which tool your test favours, which office suite you use, and whether you need images.
Worked example (hypothetical): a five-person accounting practice in Nakuru wants one AI tool for client letters, KRA query replies and month-end summaries. The numbers below are assumptions to show the arithmetic.
- Monthly billing: 5 seats × USD 25 = USD 125. 125 × 129.81 = KSh 16,226.25 a month. With a 3.5% card markup: 16,226.25 × 1.035 = KSh 16,794.17.
- Yearly billing: 5 seats × USD 20 × 12 months = USD 1,200. 1,200 × 129.81 = KSh 155,772 for the year.
- Monthly billing for a full year would be 125 × 12 = USD 1,500, so paying yearly saves USD 300, about KSh 38,943.
- The tempting shortcut, five personal USD 20 plans, costs USD 100 a month. It saves USD 25, about KSh 3,245, but every person manages their own data settings and there is no admin control. For a firm holding clients’ tax records, that saving is not worth it.
What the practice should do: pay monthly for two months on whichever tool won its test, then switch to yearly only if staff are still using it daily. Committing KSh 155,772 upfront on a tool nobody has tested is the most common waste we see.
One more consideration. If the practice already runs on Microsoft 365, it should test Claude for Microsoft 365 and ChatGPT’s Microsoft 365 connection on a real client file before buying. If it runs on Google Workspace, ChatGPT Business lists that connection on its pricing page.
How do I test Claude and ChatGPT on my own work this week?
This is the part that actually decides it. Reviews and benchmarks measure someone else’s work. This test measures yours, and it takes about three hours spread over a week.
- Monday: collect 20 real tasks. Pull them from last month: customer WhatsApp questions, a quotation, a supplier email, a meeting summary, a spreadsheet you had to explain. - Monday: strip personal details. Replace names, phone numbers and ID numbers with placeholders such as [CUSTOMER] before anything goes into a free account.
- Tuesday: write one instruction and use it in both. Give each tool the same context: who you are, who the reader is, the tone, and the length. Our practical prompt engineering guide has templates you can copy.
- Tuesday to Wednesday: run all 20 tasks in both tools. Same instruction, same order, fresh chat each time so one answer does not shape the next.
- Thursday: score blind. Ask two staff members to score each answer from 1 to 5 for accuracy and tone, without being told which tool wrote it. The maximum is 20 tasks × 5 points × 2 scorers = 200 points per tool.
- Thursday: count the editing. For the five most important tasks, note how many minutes it took to make each answer sendable. A tool that scores slightly lower but needs half the editing may be the better buy.
- Friday: decide with a margin. If one tool beats the other by 20 points or more out of 200 (10%), choose it. If the gap is smaller, they are effectively tied, so pick on price, images or office-suite fit.
- Next month: rerun five tasks. Both companies change their models often. A short retest every quarter tells you whether your choice still holds.
